Scheduling Matches (U11-19)

Scheduling Matches:

    Step 1:  Reserving a field

Once you have received your proposed match schedule from your CAYSA VP, schedule a field for your home matches by completing an on-line form. Remember, the schedule from CAYSA is just a suggested framework to help you get started. If the dates suggested don't work for you, request a date that does. Please only request dates, but not specific times (but under "conflict" you may mark off times when you cannot play).

Find your team in the dropdown menu. If you do not see your team listed, send a message to scheduler@northaustinsoccer.org. Your team is identified by a name consisting of "N" for NASA, or "R" for RCR. Your team's age (e.g. 06 for teams with kids born in 2006), the division you play in (D3, D2, S2, D1 etc), 
your team's primary gender (B for boys, G for girls),  followed by your team's name or coach's name. For example my son was born in 2003, his team, the Titans, plays D2 for NASA. It will show up in the spreadsheet as "N03D2B Titans." (Some teams have similar names - be sure you are selecting the correct team!)
   
Your requests will show up in this Home Match spreadsheet.  Once their status says "Sched", your field has been assigned. 

    Step 2:  Communicate with your opponents.

Once you receive email from the scheduler proposing a time, or the status of your request in the Home Match spreadsheet says "Sched," you should communicate with your opponents. Send an email or phone call to your opponents with the assigned date and time. Ask them to confirm that the proposed date and time will work for them. If it will not work for them, let the scheduler know and we will propose a new date/time.

    Step 3:  Confirm with the field scheduler

Let the field scheduler know that the match has been confirmed with the opposing team, by sending email to the field scheduler : scheduler@asdgsoccer.org or scheduler@northaustinsoccer.org (the two email addresses are equivalent).

Please include your team's name (as it appears on the Home Match spreadsheet), and the date and time you are confirming.  

For NASA teams, the field scheduler will then update the match info in GotSoccer. For RCR teams, Caren Benouis will update the match info in GotSoccer. Either way, you will need this done in order to print a game card. Please don't leave this until the day before the match.

 IMPORTANT POINTS:

1. All of the above applies ONLY to scheduling HOME matches. The NASA/ASDG scheduler has no authority over or knowledge of your away matches. Your away opponents should be contacting you for scheduling. If they do not, you should reach out to them or contact your division's CAYSA VP (look him/her up at http://caysa.org/board/).

2. Regarding NASA/RCR home matches, if you see conflicting information between the CAYSA GotSoccer website and the NASA spreadsheet, you should assume that the NASA spreadsheet is correct. The final authority on NASA home field scheduling is NASA, not CAYSA or GotSoccer. (If you do see incorrect home match info, please contact both your opponents and the NASA scheduler and let them know the correct info.)


Tracking the progress of your requests:  You can see the progress of your requests on the spreadsheet.  Sadly, the "list view" that we used in past seasons no longer works. However, you can see only your team's request by:
  1. Selecting the entire spreadsheet 
  2. Clicking on Data -> Filter Views -> Create new temporary filter view
  3. Clicking on the "chevron" next to the "Team" heading, and choosing only your team from the dropdown list as shown below:
Pay particular attention to the "Status" column:  
  • Prelim:  I have received your request and I'm getting it scheduled
  • Sched:  Your match has been assigned home field and time.  You need to confirm the time with the visiting team
  • Confirmed:  You have told me the time is confirmed with the visiting team.
  • Entered:  The time and field have been entered into Got Soccer.   You are good to go


Changes: 
Even the best laid plans get changed.  There is a strict 72 hr cancellation policy for referees. If you fail to cancel at least 72 hrs before the match, you are responsible for the referee fees.   If there is time plenty of time, simply cancel by emailing scheduler@northaustinsoccer.org.  If the match is less than 1 week away, also copy our referee assigner:  aubrey.daniels@hotmail.com.  If the match is less than 4 days away, send email but follow up with a phone call to Aubrey:  (512) 517-0862.
